What is an appointment book?
An appointment book is the day-by-day record of who is coming, when, for which service and for how long. Salons, clinics, physiotherapists, tutors, CAs and repair shops have long kept one as a paper diary at the counter or a register next to the phone. A free appointment scheduler does the same job on screen: each booking holds a customer, a phone number, a service, a start time and a duration, so you can see at a glance which slots are taken and which are still open.
The book matters most when time is what you sell. Give two customers the same 11 o'clock slot and one of them waits or walks out. A chair or consulting room left empty because someone did not turn up is income you cannot recover. Recording the outcome of every booking, whether completed, cancelled or a no-show, shows you which customers keep their appointments and which need a reminder or an advance. For a clinic or consultant, the dated list of completed visits also helps when you match fees collected against your books.
In India, many bookings still arrive as phone calls and WhatsApp messages, and the details end up scattered across chats. Keeping them in one place, and sending the customer a written confirmation of the date and time, cuts down on arguments about who said what. For long services such as bridal make-up or a full-body check-up, asking for a booking fee by UPI before the day is a simple way to make sure the customer turns up.
What the appointment book does
Double-booking check
Before saving, the tool compares the new start time and duration with every scheduled appointment on that day and refuses an overlap. Cancelled, completed and no-show bookings no longer hold their slot.
Day view in time order
Pick any date to see that day's bookings sorted by start time, with service, duration, phone and notes on each card. A counter shows how many scheduled appointments are due from today onward.
Four booking statuses
Every appointment is scheduled, completed, cancelled or no-show, each shown in its own colour. A booking closed by mistake can be re-opened.
WhatsApp and link sharing
Share builds a link to a page showing the customer name, service, date, time, duration and note, with a QR code of that link. If the booking has a phone number, the WhatsApp button opens a chat with that number.
Advance fee by UPI
For bookings in rupees, add an optional advance or booking fee and your UPI ID before sharing. The customer can pay it by UPI from the shared page.
CSV export
Download every appointment as a CSV sorted by date and time, with date, time, customer, phone, service, duration, status and notes columns. It opens in Excel or Google Sheets.
How to use the free appointment book
- 1Under New appointment, type the customer's name and phone number. If a Business Profile or another Setu tool is already set up on this device, tap Use workspace to pick from the customers saved there instead.
- 2Fill in the service, date, start time and duration in minutes. Customer name and service are required; the note is optional.
- 3Tap Book appointment. If the time overlaps another scheduled booking that day, the tool names the clashing customer, service and time, and does not save until you pick a free slot.
- 4Use the date picker above the list to move between days. Bookings for the chosen day appear in time order, and the number beside the picker counts all scheduled appointments from today onward.
- 5When the slot is over, tap Mark completed, no-show or Cancel. A closed booking can then be re-opened, shared again or deleted.
- 6Tap Share to send a booking by WhatsApp, copy its link or show its QR code, and use Export CSV to download every appointment as a spreadsheet.
Tips to cut no-shows and double bookings
- Type the customer's phone number with the 91 country code in front, such as 91 98765 43210, so the WhatsApp button opens the right chat.
- Set the duration to the full time the chair or room is busy, including clean-up, because the overlap check uses the duration you enter.
- Keep private remarks out of the note field, because the note appears on the shared booking page the customer sees.
- Ask for an advance on long or high-value services, and check your bank or UPI app to confirm it arrived before the day.
- Mark every missed visit as no-show instead of deleting it, so the CSV shows which customers miss appointments repeatedly.
- Save your business name and UPI ID in Business Profile and connect the workspace, so shared booking pages carry your business name and the UPI ID is filled in for you.
Frequently asked questions
Any appointment-based business: salons, clinics, consultants, repair shops, tutors, lawyers. Day view, durations, statuses and no-show tracking.
Yes. If you use other Setu tools on this device, connect your workspace and pick customers from the shared customer book instead of retyping them.
Yes — everything stays in your browser on your device. No signup, no cloud, CSV export any time.
Yes. Tap Share on any booking to create a link showing the customer's name, service, date, time and duration. The WhatsApp button opens a chat with the customer if you saved their number with the 91 country code; otherwise you pick the contact inside WhatsApp. You can also copy the link or let the customer scan its QR code. The tool does not send automatic reminders, so send the link yourself when you confirm or the day before.
Tap Share on the booking, enter the advance amount and your UPI ID, and send the link. The customer sees the appointment details with a button to pay the advance by UPI. This is offered for bookings in rupees. The appointment book does not record whether the money arrived, so check your bank or UPI app before the visit.
The appointment book checks the new booking's start time and duration against every scheduled appointment on the same day. If they overlap, it will not save and tells you whose appointment clashes, for which service and at what time. Back-to-back bookings are allowed, so a 30-minute booking at 10:00 and another at 10:30 do not clash. Cancelled, completed and no-show bookings free up their slot.
Yes. It runs in your phone's browser with no app to install, and on a small screen the booking form sits above the day's list. Bookings are saved in that browser on that phone only, so appointments added on the counter computer will not appear on your phone. Keep the book on one device, and export a CSV whenever you want a copy elsewhere.
