What is a quotation?
A quotation, also called a quote or estimate, is the priced offer you send before a customer commits: what you will supply, at what rate, with what tax, and how long the price holds. It lets the customer compare, negotiate and approve, and once accepted it becomes the basis for the sales order or invoice. This quotation generator puts that offer on a clean page with a validity date, so a rate you gave in June is not held against you in September.
No tax is payable on a quote itself, but it should still show GST line by line. A registered business customer usually compares your pre-tax price because they can claim input tax credit, while a consumer cares about the all-in figure. GST rates were rationalised from 22 September 2025, mostly into 5% and 18% slabs, so check the tax % on any old quote template or price list before you reuse it, and quote the rate that applies on the date of the quote.
The words get used loosely, but there is a useful difference. An estimate is an approximate figure that may change once the job is clear, as with repairs or interiors. A quotation is a firm price for the validity period. A proforma invoice, sometimes called a proforma quote, is often sent once the customer agrees, laid out like a bill so they can pay an advance or get internal approval. Use the word that matches what you are promising.
What the quotation maker includes
Validity on the page
The printout shows a Valid until badge under the quote date, and the shared link shows it too, so the customer can see when the price lapses.
WhatsApp share
Share link opens a sheet with a WhatsApp button that sends the quote title, your business name, the total and a link. If the client's phone includes the country code, such as 91, it opens their chat directly.
Opens in any browser
The client sees a read-only copy of the quote in their phone browser, with no app or login needed.
UPI pay option
For a rupee quote, add your UPI ID in the share sheet and the link shows a Pay now button and UPI QR for the quoted total, with the quote number as the payment note.
QR code of the link
The share sheet also shows a QR code of the link, so a customer at your counter can scan the quote onto their own phone.
Clean print layout
The A4 printout carries your business and client details, item lines with tax, totals, your terms and a footer stating it is not a tax invoice.
How to use the free quotation generator
- 1Set up your Business Profile, then click Use workspace when this page offers it, so your name, address, phone, email and GSTIN print on the quote.
- 2Check the quote number and date; Valid until starts 15 days ahead, so change it to suit the job.
- 3Pick a saved customer to fill the client's name, phone and address, or type them in.
- 4Add each item with quantity, rate and tax %; picking a saved product fills its name, selling price and tax rate, and tax is added on top of that rate.
- 5Write advance, delivery and validity terms in Notes & terms.
- 6Click Save quotation, then Print / PDF or Share link; in the saved list, click Mark sent once it goes out, then Accepted or Declined when the client replies.
What to include in a quotation
A quote that answers these questions upfront gets fewer calls back and fewer disputes later.
- A description specific enough to price, with brand, size, grade or model, and the unit such as per bag or per sq ft, since the quote has no separate unit column
- Quantity, rate and GST % on every line, so the customer sees both the pre-tax and the all-in price
- A validity date that reflects how fast your input costs move
- Payment terms, such as the advance required and when the balance is due
- Delivery or completion time, counted from the order or the advance
- What is excluded, such as transport, installation or civil work, so it is not assumed to be included

Frequently asked questions
A quotation is a price offer sent before the work or sale — it has a validity date and is not a tax document. An invoice is the bill raised after. Setu has a separate free Invoice Generator for that.
Yes — saved quotations carry a status: draft, sent, accepted or declined. Update it as the deal moves.
Yes. Connect your Setu workspace and your business details, saved customers and products fill in automatically — nothing to retype.
Click Print / PDF and choose 'Save as PDF' in your browser's print dialog. Everything happens on your device.
Fill in the quote, click Share link and tap WhatsApp. The message carries the quote title, your business name, the total and a link. If the client's phone number includes the country code, such as 91 for India, WhatsApp opens their chat directly; a bare 10-digit number may not find the right chat. The client taps the link and sees the quote in their browser without installing anything. You can also copy the link or show its QR code.
The tool sets Valid until 15 days after the quote date, and you can change it. Many businesses use 7 to 30 days: shorter when material prices move quickly, such as metals, cement or fresh produce, and longer for services with stable costs. Whatever you choose, state it clearly, because the validity date is what lets you revise the price once it passes.
The link can carry a UPI pay button: enter your UPI ID in the share sheet and the customer sees a button and QR to pay the quoted total, with the quote number as the payment note. It always asks for the full total. To collect only an advance, write the advance amount in Notes & terms and share a separate UPI QR code for that amount.
There is no separate discount box on the quotation. To quote a discounted price, enter the reduced rate on the line, which also keeps the GST calculated on the discounted value. Mention the original price or the discount percentage in the description or in Notes & terms if you want the customer to see the saving.
