What is a purchase register?
A purchase register is a date-wise record of every bill you receive from suppliers: who you bought from, the bill number, what you bought, what it cost and how you paid. It answers everyday questions quickly. How much did we buy from this wholesaler last month? Was that bill paid in cash, or is it still on credit? For a shop, pharmacy or restaurant it is also where stock control starts, because what you buy is what should be on the shelf or in the kitchen.
Under GST, registered businesses have to keep accounts of their inward supplies, and the purchase register is the list your CA works from when matching supplier bills with GSTR-2B before claiming input tax credit. A bill missing from the register is easy to overlook at return time, and a bill entered twice can overstate both your costs and the credit you think you are owed.
Kept up to date, a purchase register also shows how you buy. You can see which supplier you depend on most, how often you restock a fast-moving item and whether the unit cost of your key products is creeping up. That is the information you want in hand before you negotiate rates, switch suppliers or decide how much to order next time.
Features of the purchase register
Stock updates you confirm
Linked lines add purchased quantities to product stock only after you confirm. Each change is logged in the Stock Register history with the bill number.
Linked to the Expense Tracker
A purchase can be copied into the Expense Tracker under Purchases, and deleting the purchase later removes that expense too.
Payment mode on every bill
Cash, UPI, Card, Bank transfer or Credit is saved with each purchase and shown in the list and the export.
Bill total as you type
The total is worked out live as quantity × unit cost for each line, added across all lines.
Cost price auto-fill
Linking a line to a saved product fills in its name and cost price, which you can still change for this bill.
Recent purchases at a glance
The latest 30 bills are listed newest first, with supplier, bill number, payment mode, items, total and whether stock was updated.
How to use the free purchase register
- 1Pick a supplier saved in your Supplier Book, or type the supplier's name if they are not saved there.
- 2Enter the bill date, the payment mode (Cash, UPI, Card, Bank transfer or Credit) and the supplier's bill number. The Bill number box appears once you pick a saved supplier, or straight away if your Supplier Book is empty.
- 3Add each item with its name, quantity and unit cost, using + Add item for more lines. If you have connected your workspace, use Link product to fill in a saved product's name and cost price.
- 4Keep Also record as a business expense ticked for costs such as supplies. Untick it for resale stock whose cost you track through product cost price, so the cost is not counted twice in profit.
- 5Click Save purchase. If any line is linked to a product, choose Save & update stock or Save without stock.
- 6Use Export CSV to download every purchase with date, supplier, bill number, items, total, payment mode and stock status.
What to record for every purchase bill
- The supplier's name, saved once in the Supplier Book so it is spelled the same on every bill.
- The supplier's bill number, so each entry can be traced back to the paper or PDF invoice.
- The bill date, not the date you paid or the date you entered it.
- Quantity and unit cost for each item, entered either all before GST or all including GST, never a mix.
- Payment mode, using Credit for bills you have not paid yet.
- The original tax invoice, filed separately. The register does not record HSN codes or the CGST, SGST and IGST split; keep the supplier's GSTIN in the Supplier Book.

Frequently asked questions
Yes. Link purchase lines to your saved products and, after one confirmation, the purchased quantities are added to stock — visible instantly in the Stock Register and the Browser POS.
No. Suppliers saved in the Supplier Book appear in a dropdown here. Save a vendor once, reuse forever.
Completely. Everything is stored in your browser on your device — no signup, no cloud, and you can export a CSV any time.
No. Deleting a purchase removes the record and, if it was also logged as an expense, that linked expense. Stock already added from it stays as it is, and the delete confirmation warns you about this. If the bill was entered by mistake, correct the quantity with a stock adjustment in the Stock Register.
Use it as your list of supplier bills, not as your GST record. Each entry stores quantity, unit cost and the bill total, but not HSN codes or the CGST, SGST and IGST split. The supplier's GSTIN can be kept in the Supplier Book. Keep the original tax invoices, and let your accountant match them with GSTR-2B before you claim input tax credit in GSTR-3B.
Yes. Type the supplier's name instead of choosing one from the dropdown. The name is saved on that bill only and is not added to the Supplier Book. While your Supplier Book has entries, the Bill number box appears only after you pick a saved supplier, so add regular suppliers there once to record bill numbers and keep their names consistent.
Choose Credit as the payment mode. It is saved with the bill and shows in the recent purchases list and the CSV export. The register does not track due dates or part payments. For that, open Accounts Payable Aging, connect your workspace and click Pull from Purchase Register, which ages bills from the bill date. It brings in every recorded bill, so remove the ones you have already paid.
